Solace ("we," "us," "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and disclose your personal information when you visit solace.nz, sign up to our mailing list, make a booking, or visit our studio in Mt Eden, Auckland. We handle personal information in accordance with the Privacy Act 2020 (NZ) and, where applicable, the Health Information Privacy Code 2020.

Contact and account information

• Name, email address, and phone number

• Information you provide when joining our email list or contacting us via team@solace.nz
   

Booking information

• Appointment details, preferred piercer, and service requested

• Date of birth or age confirmation, where required for age-restricted procedures

• Emergency contact details, if provided
   

Health information

• Relevant medical history, allergies, skin conditions, or medications you disclose to help us assess suitability for a piercing and provide safe aftercare guidance

• Photos of the piercing site, only where you've given specific consent (e.g. for consultation or healing check-ins)
   

Website usage information

• Standard technical data collected automatically via our website platform (Wix) and our analytics and advertising tools (Google Analytics and Google Ads), such as IP address, browser type, device information, and pages visited

• Cookies and similar tracking technologies (see Section 6)
   

Payment information

• We do not directly store full payment card details. Payments are processed by our third-party payment provider, who handles this information under their own privacy and security terms.
   

2. How We Use Your Information

We use your personal information to:

• Manage and confirm bookings and appointments

• Assess piercing suitability and provide safe, informed care

• Send booking confirmations, reminders, and aftercare information

• Send marketing communications, such as studio updates or promotions, if you've opted in

• Respond to enquiries sent to team@solace.nz

• Maintain client records for health and safety, and regulatory compliance purposes

• Improve our website and services​

• Measure how our website and advertising are performing

• Meet our legal and professional obligations (including infection control and health and safety record-keeping)

We will not use your health information for marketing purposes.
 

3. Disclosure of Information

We do not sell your personal information. We may share information with:

• Service providers who support our operations (e.g. Wix for website hosting, our payment processor, and email marketing tools), who are only permitted to use your information to provide services to us

• ​Analytics and advertising providers, such as Google (Google Analytics and Google Ads), which receive limited website usage information, such as pages visited and device information, through cookies and similar technologies, as described in Section 6

• Health authorities or regulators, where required by law (for example, in relation to infection control incidents)

• Emergency services or your emergency contact, if needed for your immediate health and safety

We will not otherwise disclose your personal or health information to third parties without your consent, unless required by law.
 

4. Storage and Security

Your information is stored securely using our website platform (Wix) and associated business tools. We take reasonable steps to protect personal information from loss, misuse, unauthorised access, or disclosure, including:

• Restricting access to client and health records to our piercers and authorised staff only

• Using secure, password-protected systems

• Retaining physical consultation forms (if used) in a secure location at our studio

No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.
 

5. Retention

We retain personal and health information for as long as necessary to:

• Provide ongoing care and aftercare support

• Meet our legal, health and safety, and insurance obligations

• Resolve any disputes or complaints

When information is no longer needed, we will securely delete or dispose of it.

6. Cookies and Website Analytics

Our website is built on Wix and uses cookies and similar technologies to make the site work, remember your preferences, understand how people use it, and measure our advertising.

Essential cookies are needed for the site and booking system to work.
Analytics cookies, through Google Analytics, help us understand how the site is used, for example which pages are visited.
Advertising cookies and tags, through Google Ads, help us measure whether our ads lead to bookings. Google may also use this information to show relevant advertising.

You can block or delete cookies in your browser settings, and manage how Google uses information for advertising at adssettings.google.com. If you block all cookies, some parts of the site, including booking, may not work properly.

Our website and advertising providers, including Google and Wix, may process information on servers outside New Zealand. We do not use your health information or consultation form details for advertising, and we do not give our client lists to Google.

7. Minors

Some piercing services have minimum age requirements or require parental/guardian consent. Where a client is under 18, we may collect parental or guardian contact information and require consent to be provided before the appointment.

8. Your Rights

Under the Privacy Act 2020, you have the right to:

• Ask us what personal information we hold about you

• Request access to that information

• Request correction of any information you believe is inaccurate or incomplete

If you have a concern about how we've handled your personal information that we haven't resolved, you can contact the Office of the Privacy Commissioner (privacy.org.nz).
 

9. Changes to This Policy
